Choosing the repository comes before name searching. State Archives guidance identifies central administrative traces and distinguishes public career, parish records and residence. These needs do not necessarily lead to the same holder.
The method, step by step
- Define an event: appointment, pension, residence, baptism or marriage. Separate evidence from stories. “Worked for the state” identifies neither employer nor series; first seek role, place and period in known records.
- For an administrative lead build a timeline of roles and bodies. Identify the likely creator and read relevant department guidance. Prepare name variants and starting reference. A possible file remains hypothetical until located.
- For an ordinary parish record identify community and parish or diocesan holder. For residence examine municipal services. Military church registers are a separate route in State Archives guidance. Record why you chose a holder so new place or occupation evidence can change the choice.
- For a referral record person, event, period and holdings covered by the reply. Lack of jurisdiction does not prove nonexistence. Convert the reply into a focused next request to municipality, diocese, regional archive or another successor state’s holder.

Frequently asked questions
Do Austrian State Archives hold all parish records?
No. Guidance distinguishes ordinary parish registers held by relevant parishes, dioceses or communities from military church registers. Identify place, date and community before choosing a holder; a negative central search does not cover those other holdings.
